Cancellation, Rescheduling and Refund Policy
Rent My Tutor is committed to providing clear and fair cancellation, rescheduling and refund terms for our tutoring, STEM and educational programmes. The conditions below explain how cancellations, missed sessions, rescheduling and refunds are handled.
This policy applies to services provided by Rent My Tutor, including personalized tutoring, SEA, CSEC and CAPE support, robotics, coding, STEM programmes, digital-skills training, workshops, camps and other educational services offered to individuals, families, schools and organizations.
- Tutoring Session Cancellations
Learners or parents who need to cancel or reschedule a tutoring session should provide at least 24 hours’ notice whenever possible.
Where at least 24 hours’ notice is provided, Rent My Tutor will make reasonable efforts to reschedule the session, subject to tutor availability.
Where less than 24 hours’ notice is provided, the session may be treated as used and may not be eligible for a refund or replacement session.
We understand that emergencies can occur. Genuine emergencies or exceptional circumstances may be reviewed on a case-by-case basis.
- Missed Tutoring Sessions
If a learner does not attend a scheduled session and no notice is provided, the session will generally be considered completed and will not be refunded.
Tutors are expected to remain available for the scheduled session for a reasonable period before the session is recorded as missed.
Repeated missed sessions may result in a review of the learner’s schedule or continued enrolment.
- Tutor Cancellations
If a Rent My Tutor tutor or facilitator is unable to conduct a scheduled session, the learner will not lose the session.
Rent My Tutor will normally offer one of the following:
• a rescheduled session
• a replacement tutor or facilitator, where appropriate
• a credit toward a future session
• a refund where a reasonable replacement cannot be provided
- STEM Programmes and Class Cancellations
For robotics, coding, STEM, digital-skills, workshops, camps and other group programmes, cancellation terms may differ from individual tutoring because programme costs may include facilitator fees, equipment, venue expenses, materials and other advance commitments.
Where Rent My Tutor cancels a programme before it begins, participants will normally be offered:
• a transfer to another programme
• a credit toward a future programme
• or a refund of eligible fees paid
Where a programme has already begun, refunds will normally be calculated based on the portion of the programme that has not yet been delivered, subject to any non-refundable costs already incurred.
- Participant Withdrawal from Group Programmes
If a participant chooses to withdraw from a programme before it begins, Rent My Tutor should be notified as early as possible.
Refund eligibility may depend on:
• how much notice is provided
• whether programme materials have already been purchased
• whether a place was reserved specifically for the participant
• whether facilitator, venue or technology costs have already been committed
• the specific terms communicated at registration
Where appropriate, Rent My Tutor may offer a credit or transfer instead of a cash refund.
- School and Organizational Programmes
Cancellation terms for schools, companies and partner organizations may also be governed by a proposal, quotation, memorandum of understanding, contract or other written agreement.
Where a written agreement contains specific cancellation, payment or refund terms, those agreed terms will take priority over this general policy.
Any cancellation should be communicated as early as possible so that facilitators, equipment, travel and programme resources can be adjusted.
- Deposits and Advance Payments
Some programmes may require a deposit or advance payment to secure a learner’s place or confirm a programme booking.
Where a deposit is described as non-refundable at the time of registration or contracting, it will normally remain non-refundable once Rent My Tutor has committed resources to the programme.
Any non-refundable deposit or fee will be clearly communicated before payment.
- Materials, Kits and Equipment
Fees paid specifically for physical materials, robotics kits, printed resources, uniforms, supplies or other items may not be refundable once the items have been purchased, prepared, distributed or allocated to the learner.
If an item has not yet been purchased or allocated, Rent My Tutor may consider a refund where reasonable.
- Online Session Technical Issues
Learners are responsible for having a suitable device, internet connection and access to the required learning platform for online sessions.
If a session cannot proceed because of a learner-side internet or device issue, Rent My Tutor will make reasonable efforts to assist. However, a replacement session is not automatically guaranteed.
If the technical problem is caused by Rent My Tutor, the tutor, or a platform under our direct control, the session will normally be rescheduled or credited.
- Late Arrival
A learner who joins 15 minutes late may receive only the remaining portion of the scheduled session.
The session may still end at the original scheduled time because tutors may have other learners booked immediately afterward.
If a tutor begins a session late, reasonable efforts will be made to provide the full scheduled instructional time.
- Refund Processing
Approved refunds will be returned through a reasonable payment method and within the processing period communicated by Rent My Tutor.
Processing time may vary depending on the original payment method, bank, card provider or payment platform.
Any third-party transaction fees that cannot be recovered may be deducted from the refund where permitted and where this has been communicated to the customer.
- Credits and Transfers
Where appropriate, Rent My Tutor may offer a credit, programme transfer or replacement session instead of a refund.
Credits may be subject to an expiry period, programme availability and other reasonable conditions communicated when the credit is issued.
- Exceptional Circumstances
Rent My Tutor recognizes that illness, family emergencies, severe weather, national emergencies, school closures, transportation disruptions and other unexpected events may affect attendance.
Where appropriate, we will work with the affected learner, parent, school or organization to find a fair solution.
Decisions may consider the circumstances, notice provided, programme costs already incurred and whether the session or programme can reasonably be rescheduled.
- Changes to Programmes
Rent My Tutor may occasionally need to change:
• tutors or facilitators
• programme dates
• venues
• delivery format
• lesson schedules
• programme content
Where a significant change occurs, affected participants will be informed as early as reasonably possible.
Minor programme changes that do not materially reduce the educational service provided will not normally qualify for a refund.
- How to Request a Cancellation, Reschedule or Refund
Requests should be submitted (via email) as soon as possible and should include:
• learner or organization name
• programme or subject
• scheduled date
• reason for the request
• preferred resolution, where applicable

- Fair Use of This Policy
Rent My Tutor aims to apply this policy fairly and consistently.
At the same time, learners, parents, tutors, schools and programme partners are expected to respect scheduled commitments and provide reasonable notice when circumstances change.
Where a situation is not specifically addressed in this policy, Rent My Tutor will assess the matter reasonably and in good faith.
